NYC Trip Refund Process

NHS Band Students & Families:

The Northwestern High School band directors, as well as school district and school-level administration, thank you for your patience and support as we continue to work through the cancelation of our trip to New York City, NY, in the Spring of 2020. At the time of our trip’s cancelation, Stamm Travel had paid suppliers and vendors for our trip. Stamm Travel continues to work with these parties, advocating for refunds, even partial refunds, for payments sent on our behalf. While these vendors were not obligated to adjust their policies, many of them were generous to our cause. Some vendors and suppliers have not yet responded due to the restrictions placed on non-essential business in the state of New York. These negotiations are continuing; however, because COVID-19 affected the entire industry, the process will be slow.

On Wednesday, March 25, 2020, we received further guidance from Stamm Travel regarding the next steps for our members to obtain refunds for out-of-pocket payments or credits towards a future band trip. An outline of each option is available below:

Option 1 – ROLLOVER TRIP CREDIT OPTION

Rollover my full payment towards the future cost of the next Northwestern High School Band Trip.

The safety and well-being of our families are our number one priority. While we cannot announce a future date at this time, Rock Hill Schools’ leadership assured us that the travel ban currently in effect would expire as soon as it is safe to do so following future guidance by local and state officials. We have every intention to provide a significant travel opportunity for the band program during the 2020-2021 school year. Trip credit payments can also be reassigned to another sibling/family member if they are participating in the band program next year. If a trip is unable to be scheduled by September 1, 2020 for the 2020-2021 school year, this option will default to Option 3.

Option 2 – REFUND NOW

Request a refund now.

Refunds will be mailed approximately one week after receipt of your request for a refund. Selecting this option will make you ineligible for any additional returns Stamm Travel might obtain from other vendors. Your refund amount is calculated based off each trip attendee’s total cost, minus $275. Out-of-pocket expenses will be refunded first, followed by the transfer of BCP credits (if used) back to the booster club.

OPTION 3 – DELAY REFUND

Wait until April 17, 2020, for Stamm Travel to determine the final non-refundable portion for the cancelation of our trip. 

Your refund amount will be no less than that of Option 2 but could potentially be higher if more suppliers can provide additional refunds. Stamm Travel will notify all persons selecting Option 3 as the final non-refundable amount is determined (by April 17). Stamm Travel anticipates returns for Option 3 to be mailed approximately two to three weeks after April 17, 2020.
